Scope
This notice explains how mirARcle processes personal data of job applicants who apply directly through our careers pages, email, or recruiting partners. It supplements our Privacy Policy.
Data We Process
Depending on your application, we may process:
- Identity and contact details (name, email, phone, address)
- CV / résumé, cover letter, portfolio links, and work samples
- Professional history, education, skills, and references you provide
- Interview notes, assessments, and communication related to your application
- Optional information you choose to share (e.g. work authorization, salary expectations)
- Technical metadata from our careers forms (timestamp, request IDs) needed for security and fraud prevention
We do not require special-category data for standard applications. If you voluntarily provide such data, we process it only where permitted by applicable law.
Purposes and Legal Bases
We process applicant data to:
- Receive and evaluate applications — legitimate interests / steps prior to a contract (Swiss nFADP; GDPR Art. 6(1)(b)/(f))
- Communicate about the hiring process — same bases
- Maintain an applicant pool / talent community with your consent, where offered
- Defend legal claims and meet compliance duties — legitimate interests / legal obligation
- Secure our systems against abuse of careers forms — legitimate interests
AI-Assisted Review
Where used, AI tooling may help organize or summarize application materials for human recruiters. Hiring decisions remain human-controlled. You may request human review of any automated assistance that materially affects your application.
Recipients
Data may be accessed by mirARcle recruiting and hiring managers, and by carefully selected processors (e.g. secure hosting, email, ATS) under confidentiality and data-processing terms. We do not sell applicant data.
International Transfers
If data is transferred outside Switzerland / the EEA, we use appropriate safeguards (e.g. adequacy decisions or standard contractual clauses).
Retention
Unsuccessful applications are typically retained for up to 6 months after the process ends (or longer where required for legal claims or with your consent for a talent pool). Successful applicants' data may transition into employee HR files under separate notices.
Your Rights
Subject to applicable law (Swiss nFADP / GDPR), you may request access, rectification, erasure, restriction, objection, and data portability, and lodge a complaint with a supervisory authority. Contact dpo@mirarcle.com.
